Payroll Manager (Remote)

About the role

TubeScience, a performance-driven creative and media company, is looking for an experienced payroll professional to own U.S. payroll, contractor payments and Employer of Record (EOR) payroll support. The role is hands-on, with no direct reports, and sits within the Finance team under the VP of Finance. Candidates must live in LATAM, the Philippines or India and keep at least 5 hours of daily overlap with U.S. Pacific Time.

Key responsibilities

• Own regular and off-cycle U.S. payroll processing in Rippling, validating inputs such as new hires, terminations, compensation changes, bonuses, deductions and reimbursements.
• Administer and reconcile contractor payments, and coordinate payroll and bonus processing for employees through EOR partners.
• Validate EOR payroll calculations and reconcile invoices and statements against internal records.
• Manage multi-state payroll requirements, including tax withholding, overtime, final pay, state registrations, tax notices, filings and reconciliations.
• Handle benefits deductions, garnishments, retirement contributions and other payroll deductions.
• Keep employee data in Rippling accurate, troubleshoot configurations, reports and workflows, and investigate payroll discrepancies.
• Serve as the main point of contact for employee payroll questions and support audits, census requests and benefits reviews.
• Manage year-end payroll, including W-2/1099 processing and annual reconciliations.
• Build and maintain payroll SOPs and controls.

Required profile

• 5+ years of payroll experience, including at least 3 years directly administering U.S. payroll.
• Hands-on experience processing payroll in Rippling and managing multi-state U.S. payroll; California and/or New York experience strongly preferred.
• Experience applying California overtime rules, tax exemptions and state final-pay requirements.
• Strong knowledge of U.S. payroll taxes, wage deductions and off-cycle payroll.
• Ability to resolve payroll discrepancies independently and handle sensitive employee questions with strong communication skills.
• Professional fluency in English; remote work from outside the U.S. is acceptable.

Bonus experience includes payroll tax registrations, 401(k) and workers' compensation audits, EOR and contractor payment administration, and building a payroll function at a startup.
